No refunds will be made for expo only passes or special event tickets.  Attendee requests for full conference passes will be considered under extreme circumstances only, must be received in writing by March 30, 2018, and are subject to a $40 cancellation fee. No refunds will be given for any registration made after March 30, 2018. Cancellation requests should be emailed to: hospitalitydesign@experient-inc.com. Attendees will be charged the full price to replace lost event tickets.

Each exhibitor distributing food and/or beverage samples from their booth must first complete and submit the Mandalay Bay Convention and Visitors Authority Application for Food Preparation within Exhibits form, found in the HD EXPO 2018 Exhibitor Service Manual. https://www.freemanco.com/store/show/landing.jsp?showID=451898, and submit it to the Mandalay Bay Convention Center as noted on the form.

If sampling of open food or beverage is conducted at a booth, both a hot water hand-washing station and a sanitizing station will be required. A booth may bring hand-washing and sanitizing stations or they are available by submitting an order to Mandalay Bay. If an exhibitor is providing the hand- washing and sanitizing station, please contact the Southern Nevada Health District or refer to their website for the requirements.

The Food Preparation within Exhibits guidelines set forth by the Mandalay Bay Convention and Visitors Authority must be strictly adhered to throughout the show. These guidelines can be found within this manual.

All Fire Safety Regulations, including but not limited to the following, must be strictly adhered to throughout the show:

  • No open flames will be permitted.
  • A 5ABC portable fire extinguisher will be required for each approved device.
  • A type “K” portable fire extinguisher will be required when use of cooking oil is approved.
  • All fire extinguishers must be visible within the booth.

A Show Directory listing is the contact information and product categories that will be published both on the HD EXPOwebsite and in the printed Show Directory. It’s a key tool in telling the attendees about your company before, during and after the show. The final deadline for entering your information to be included in the printed Show Directory is Monday, March 19, 2018.
In order to be listed in the Show Directory, go to A2Z and log into your profile. Upon contracting for exhibit space, you will receive a Welcome E-mail with information about the system and log-in information.

Visa letters can be requested during the registration process. If you are having trouble securing your Visa letter, please contact hospitalitydesignexh@experient-inc.com.

Please note that the HD EXPO 2018 Show is a Cubic Content show. Please reference the Booth Guidelines in the HD EXPO 2018 Exhibitor Service Manual.  to ensure your booth meets these guidelines.

Only exhibitors in island, split island, and peninsula booths that are 400 square feet or larger may have a hanging sign over their booth. Freeman will hang all signs both inside the exhibit hall. For more information on the regulations pertaining to hanging signs, please refer to the Hanging Sign & Graphics Guidelines in the HD EXPO 2018 Exhibitor Service Manual.

As an Exhibitor you may choose to utilize your own personnel to set up and dismantle your exhibit. If full-time company personnel are utilized to set an exhibit, they should carry positive company identification, such as a medical identification card or payroll stub. You may hire Freeman to act as your Exhibitor Appointed Contractor (EAC) to perform this work. You may hire an Exhibitor Appointed Contractor (EAC) to perform this work.   • As an exhibitor you may “hand carry” material. Hand carry is defined as small items such as cartons and packages that an exhibitor is able to carry.
  • Any mechanical assistance is limited to a small dolly.
  • The assistance of any motorized device or pallet jack is not permitted.
  • When exhibitors choose to “hand carry” they may not access designated material handling areas.
  • Must use specified exhibitor hand carry areas or main entrance of the facility.
  • In all other circumstances items should be considered material handling.

In no circumstance is any exhibitor authorized to use Freeman material handling equipment for any purpose.

The address to the marshaling yard is: 6555 West Serene Avenue Las Vegas, NV 89139. All delivering carriers must check in at the marshaling yard prior to delivering to the facility. Drivers must check in no later than 2:30 p.m. on the target move-in date to be off-loaded. Please be advised that certified weight tickets are required when checking into the marshaling yard. For your convenience, Freeman has available a full-size certified scale at the marshaling yard. If your driver has valid certified weight tickets, Freeman will accept these tickets and your driver will not have to scale at the Freeman marshaling yard. All carriers will be assigned an unloading number according to driver check-in time. Please call automatic Marshaling Yard directions at 702-263-4183.

FREEMAN will accept crated, boxed or skidded materials beginning MARCH 30, 2018 at the above address. Materials arriving after APRIL 25, 2018 will be received at the warehouse with an additional after deadline charge. Warehouse freight will be delivered prior to exhibitor set up. Warehouse receiving hours are 8:00 a.m. – 3:30 p.m., Monday – Friday. Drivers must check in no later than 3:30 p.m. in order to be off-loaded on arrival date. All crates and skids must be tagged and removed from the exhibit floor no later than 5:00 pm on Tuesday, May 1, 2018. This will allow Freeman sufficient time to complete the laying of the aisle carpet and the overall cleaning of the exhibit hall as well as provide exhibitors the space to complete their booth set up by keeping aisles clear. There will be no exceptions to this policy. Crates without empty or access storage stickers will be tagged by the area floor managers or Freeman and removed from the exhibit hall – whether full or empty. Exhibitors may request product to be returned to their booth at the exhibitor’s expense. Depending on where the crates are located, it may not be possible to access the crates prior to move-out.

In an effort to ensure a successful show opening for Hospitality Design Expo 2018, we are enforcing the Clean Floor Policy again this year. If you are working with an exhibit house, please discuss with them how this policy will affect their work schedule.

Wednesday, May 2 morning between 8:00 am and 9:25 am are intended for exhibitors to tweak and fine-tune their exhibits. Exhibitors and display houses may continue working on product displays and focus on exhibit lighting until show opening. Freight deliveries will be limited to product and small
packages only.

If your target date is Sunday, April 29, or Monday, April 30 (8:00 am targets) your crates and skids must be tagged with empty labels for removal from the hall on Monday, April 30 at 5:00 pm. If your target date is Monday, April 30 (1:00 pm targets) or Tuesday, May 1, your crates must be tagged with empty labels on Tuesday, May 1 by 5:00 pm.
